This policy refers to the terms and conditions for accommodation bookings at Rock Farm Slane as of 9th May 2024.
For event, wedding or other types of bookings, please refer to the terms and conditions associated with that booking.
Definitions:
Booker: The designated person listed as the main point of contact and responsible for the booking as referenced by the Booking
Booking: The booking contract made between the Management and the Booker
Guest: Members of the public who visit or stay at Rock Farm Slane Glamping, Lime House, Bell Tent Village and River House as well as designated pitch or campervan areas either by invitation or who are paying visitors to Rock Farm Slane.
Management: The persons managing Rock Farm Ecotourism Ltd (trading as Rock Farm Slane)
Staff: Those members of staff working for Rock Farm Ecotourism Ltd at Rock Farm Slane
Owners: Rock Farm Ecotourism Limited
Property: The premises at Rock Farm, Slane, County Meath C15 FNP4
Unit: Accommodation unit at Rock Farm, Slane, Co Meath
- Bookings
Management will only accept bookings from persons over 18 years of age.
Bookings made through the Rock Farm Slane website (www.rockfarmslane.ie) are provisional until confirmed by Management. Management reserves the right, at all times, without statement of reasons, to refuse a booking.
The dates will only be held for the Booker upon receipt of a refundable booking deposit of 30% or payment in full.
Any booking made less than 60 DAYS prior to the check in date must be paid in full immediately.
Accommodation bookings for weekend nights are a minimum two night stay.
- Authority to Sign
The Booker who signs the Booking Form certifies that:
- In the absence of a signature a payment of deposit is deemed the Booker’s acceptance to these terms and conditions.
- The Booker is authorised to agree the Booking Conditions on behalf of all persons included in the Booking, including those substituted or added at a later date;
- The signatory is over eighteen years of age;
- The Booker has an e mail address and mobile telephone number at which he/she can be contacted at any time
- The Booker agrees to take responsibility for the party occupying the Property, and to notify the Management if they are not a member of the holiday party.
- Prices
The prices featured on the website are not binding. Management reserves the right to modify these prices at any time. At the time of booking the Booker will be informed of the prices applicable. The price stated on the confirmation invoice is binding and cannot be altered due to a reduction in guest numbers. Additional guests will be charged at a pro-rata rate applicable to each booking.
VAT payable is according to the guidelines of VAT Administration Authority (Revenue.ie) and is included within the rental price and items or additional services provided. Rock Farm Slane reserves the right to adjust the VAT rate according to changes made by Revenue at the time that these changes are made. These changes will be applicable to future arrival dates.
- Group Bookings (over 6 people)
Once the booking deposit is paid by the Booker, the booking value based on the expected number of guests cannot be reduced. If the Guest numbers decrease from the original number, the original booking value will be maintained unless Units can be removed and resold.
It is the responsibility of the Booker to inform all members of the Group Booking the details of the Booking and to furnish all relevant parties with their own copy of these terms and conditions, the Booking Summary and that all members of the group are made aware of the type of accommodation Unit they will be staying in.
Once the booking deposit is paid, the number of guests can go up, subject to availability and at an additional cost, but the value of the booking cannot go down. If the guest numbers decrease from the original number, the original price quoted will remain as the balance due.
Payment options are only available for Group Bookings made at least 90 days in advance of arrival date and are at the discretion of management.
- Booking process
On receipt of the deposit, a booking confirmation will be sent to the Booker, containing the details of the stay and of payments made and due.
It is the responsibility of the Booker to make these payments on behalf of the other guests included in this booking.
Payments can be made by debit or credit cards or bank transfer. Bank transfers may take up to 5 days to clear. Cash on arrival is not accepted by Management as a form of payment.
Once payment has been received the Booker will receive booking confirmation e mail with Booking Summary to confirm the booking deposit, or full payment, received and balance payment due if the booking is made more than 8 weeks prior to arrival.
Where a deposit has been paid, a payment reminder will be sent by e mail to the Booker a week prior to the Balance Payment Date. Any accommodation balances that are not paid by the Balance Payment Date may not be covered by the Flexible Cancellation policy.
Bookings made directly via the online reservation system will automatically receive a booking summary by email to the Booker’s email address as provided. This does not form a contract between the two parties if payment is not made at the time of booking. A contract shall only arise when payment is received and the booking confirmed in writing by Management.
- Rental of a Unit
In the rental price of every Unit, the following is included: - Rental of the Unit
- Use of and access to the Unit and Property’s adjoining garden or fields as identified by site signage
- Use of water, gas and electricity.
- Firewood wood stoves equivalent to each day’s stay. Additional firewood can be ordered at reception during working hours only.
- Use of the Lake, at the guest’s own risk and only during daylight hours
Not included in the rental are, among other things:
- Firewood for campfires. This can be purchased from the Honesty Box at reception.
- Hot tubs which are booked by individual bookings for 11am or 4pm daily. The hot tub will be charged out at a flat rate of €30 for each booking which includes hot fill and firewood for the stove to keep the tub warm.
- Catering, cleaning and other services during the Guest’s stay in the self-catering areas unless the service is contracted as part of the booking.
- Access to other areas or building on the farm that are not included in the Booking Summary
- The holiday; guest conditions of occupancy and conduct
The Guest(s) have the right to occupy the Property for the paid for holiday period only (within the meaning of Schedule 1 Paragraph 9 of the Housing Act 1988).
The Guest(s) will undertake to behave in a proper, appropriate and legal manner with due respect to the Management, the Owner, the Property and other Guests and their property.
If any guest behaves inappropriately or improperly (of which the Management will be the final judge on their Property), or illegally, the Management reserves the right to ask the Guest(s) and their party (at the discretion of the management) to leave the Property before the end of the holiday period.
Any refund for so doing will be at the entire discretion of the management. In addition, the Management reserves the right to sue the guest for any loss, damage or injury caused to the owner, the Property or to other Guests and/or their property. Guests will forfeit their deposit or part thereof if they cause loss, damage, injury or disruption to the owner, the property or to other guests and their property.
Management requests that all Guests are mindful of other groups staying on site. In the interest of the Owner’s neighbours and other Guests, there is a strict no noise policy outdoors after 11pm.
- Amendments and Cancellations
Each property is priced as a whole unit. So amendments to pricing based on changes in the number of guests will not be possible.
Any amendments to bookings will be at the sole discretion of the business owner.
If changes are made before the balance payment date (60 days prior to arrival), the booker or management may, at their discretion, cancel the booking and a refund of the deposit will be issued.
If the number of nights or units are reduced after the balance payment date, the management reserves the right to keep the accommodation booking value the same.
Re-bookings or date changes offered by management are subject to a €25 administration fee.
Bookings made over 60 days prior to arrival are held with a 30% booking deposit. During this time frame the Booker may cancel the booking and request a refund of the accommodation booking deposit.
Once the balance payment is made on or after 60 days prior to arrival, the booking is deemed to be confirmed and refunds will not be offered by Rock Farm Ecotourism Ltd.
All accommodation bookings are now offered with booking insurance provided by Xcover.com (https://www.xcover.com/en/travel-protection) and Management requests that all Bookers to take out insurance on making the booking to cover themselves for cancellations within the 59 days prior to arrival.
As such, if the booking is cancelled within 59 days of the arrival, Rock Farm Ecotourism Ltd will not be held liable for any refunds.
Management recommends that all bookers take out booking insurance with XCover.com, via the booking payment link, or with a reputable 3rd party insurer to cover the costs of cancellation.
XCover insurance is only offered on making the booking and will not be offered again after the booking has been made.
- Third party suppliers
The Booker or Guest must request the inclusion of any third-party suppliers to Management for approval prior to inviting them to the Property.
Management and Owners at Rock Farm Slane reserve the right to provide catering services and activities to all guests and will not accept third-party suppliers who compete with the services provided by the Business.
If approved by management, all third-party suppliers must supply a letter of indemnity to the Owners prior to approval for inclusion in the Booking.
- Arrival Time
Check in is from 3pm on the day of arrival.
Management advises that all Guests arrive during the hours of daylight to allow themselves time to visit and familiarise themselves with the indoor and outdoor facilities and areas.
Check-in is facilitated using a self-service check-in guide. Key check-in information including the main gate code and instructions to arrive at the property and the unit(s) rented and where to find the key will be sent on the day of arrival. Guests are requested to contact the office if check in is required sooner than the day of arrival.
If Management determines that a Host will be required to perform a late check-in (after 5pm) management may deduct a late check in fee of €12/hour from the Booker’s final bill to cover the out of hours costs.
- Payment of a Security Deposit
At the management’s discretion a refundable security deposit of €100 may be taken to cover any damage or unpaid costs incurred during the booking period. Card details or cash can be held by Management for the duration of the Guests’ stay.
Accommodation left in an improper condition will incur additional (cleaning) costs which will be charged from the security deposit. Guests will be advised of any damages or related costs following Management review of any accommodation and equipment issued. At a minimum the replacement or repair cost will need to be covered in all cases.
Accommodation keys must be returned or dropped into the Checkout box. Keys not returned will be deemed lost and €25 will be deducted from the Security Deposit to cover the cost of a replacement.
- Day visitors
Management will, at its own discretion, only permit visitors and vehicles during daylight hours and who are participating in an activity or event booked through Rock Farm Slane on site.
Any unidentified Visitors found staying overnight without Management’s prior knowledge and without a valid accommodation booking will result in the forfeit of the security deposit and may result in the immediate cancellation of the associated booking and departure of all associated Guests from the Property.
- Pets
Pets are only permitted with the prior consent of Management and where pets are permitted they are to be kept under control. Pet bookings must be advised at point of booking. A maximum of two small or one large pet per Unit is allowed. A cleaning surcharge of €12 is applicable to each pet to cover the additional cleaning required.
Pets must not be left in the Property unsupervised as this could result in damage to the Property and distress to the animal. Any damage or soiling of the Property or Unit as a result of the pet will be deducted from your security deposit.
- Use of facilities
The use of the lake, hot tubs, and any other amenity on the Owners land is the responsibility of the Guest and is done so at their own risk.
Management does not represent to provide any security or safety personnel for the purposes of monitoring guest use of the facilities or their condition.
- Assumption of Risks
Guests will be staying on working farm with live animals and potentially dangerous farm equipment among other hazards which are all indicated on the signage at the main farm gate. The Owners will not be held responsible for such accidents (to the greatest extent permitted by law) in the working areas of the farm which are denoted by gates, fencing and signage.
It is the Guest’s responsibility to supervise any children. If you notice that any equipment appears faulty and/or unsafe Management requests that Guests inform them as soon as possible.
Travel or holiday insurance must be taken out by the Guest to insure against the risk of accidents and the Booking being cut short.
Use of Candles - The use of candles inside accommodation units is permitted – all candles must be used inside provided Lanterns and never left unattended or lit overnight.
Use of Stoves in Accommodation areas
Guests will ensure that they familiarise themselves with the safe use of the wood-burningstoves in the Accommodation areas as part of their check-in process and while the Host is still on site. Stoves provided are only suitable for wood fuel only. Coal and other processed fuel types may result in irreparable damage to stove and accommodation (not to mention creating some nasty pollutants into the atmosphere). Wood Logs are provided by Rock Farm for use in all wood stoves.
All Guests using any of the wood-burning stoves are responsible for their own safety. The stoves and the flues are both hot surface areas and as such Management advises that Guests ensure that small children are supervised by a responsible adult in the Accommodation areas at all times.
Any issues or faults with stoves or heaters must be shown to a member of Staff immediately. Under no circumstances are stoves or heaters to be covered or items left in close proximity.
Vehicles - In the interests of health and safety and as a courtesy to other Guests the Guest is not permitted to drive his/her car off the designated gravel tracks and car park areas into the fields.
Cars parked in the designated car parks are left at the risk of the owner. Valuables must not be left on display and ensure the vehicle must be secured by the owner.
- Liability
The Management and Owner accept no liability for theft, loss or damage, of whatever nature, during or as a result of a stay at Rock Farm Slane.
The Management and Owner accept no liability for falling into defect or putting out of action of technical equipment and loss or closure of supplies or services at Rock Farm Slane.
The Management and Owner accept no liability or responsibility for the loss or damages of vehicles or valuables belonging to the Guest in an area of the Property.
The Management and Owner accept no liability or responsibility for accidents (to the greatest extent permitted by law) for those guests who are under the influence of alcohol. Alcohol should be consumed with care on site, as accidents are more likely to happen when a person is over the legal limit.
Guests and those who accompany them, are jointly and severally responsible for all loss and/or damage which arises, for Rock Farm Slane and, or any third party as a direct or an indirect consequence of their stay, irrespective of whether this was caused through actions or refraining from actions by themselves or by third parties, who are at Rock Farm Slane their making, as well as of all damage which is caused by any animal and/or matter which they have under their responsibility.
Nothing in these conditions excludes or limits the liability of the Owners:
- for death or personal injury caused by the Owners negligence.
- for any matter which it would be illegal for the Owners to exclude or attempt to exclude their liability.
- Force majeure
Force majeure on the side of Rock Farm Slane exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Rock Farm Slane including threat of war, staff strikes, blockades, fire, floods and other disruptions or events. If in the event of adverse weather conditions the owners will endeavour to find you suitable alternative accommodation.
Management reserves the right to cancel a booking at short notice in the event of extreme weather or in the unlikely event that safe or suitable accommodation cannot be provided.
For cancellations up to 48 hours prior to arrival due to a Force Majeure, Management may , at its discretion, offer alternative dates or a voucher redeemable at a later stage.
- Complaints
Complaints must be made to Management in a timely manner preferably while the Guest(s) are still on site in order to allow Management to solve the matter as soon as possible. Should the complaint not be settled to the Guest(s)’ satisfaction, then you have the option, up to 14 days after your departure to submit the complaint in writing to Rock Farm Slane, Rock Farm, Slane, Co Meath C15 FNP4 or by email to : info@rockfarmslane.ie.
Any complaints will be passed on to the Managing Director, who will reply within a 14 day period.
- Breach of Booking Conditions
If there is a breach of any of these conditions by the Booker and/or Guest or any of their party including Visitors, the Management reserves the right to re-enter the Property and end the holiday and ask the Guest and their party to leave in addition to their other rights specified in these Booking Conditions. Ending the Holiday by the Owners or the Guests does not affect that party’s other rights and remedies.
- Validity clause
In the event that a court finds that a condition in these Booking Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Booking Conditions, which will continue to be valid and have full force and effect.
- Governing Law and Jurisdiction
Any dispute will be governed by the non-exclusive law and jurisdiction of the Irish Courts.
Management reserve the right to change these terms and conditions at any time.
